How to Create Email Sequences with AI to Keep Your Clients Engaged

 

Let me ask you a direct question.

When was the last time you sent a client an email that wasn't asking for a document, reminding them of an appointment, or collecting a payment?

How to create your first sequence with AI,  in 20 minutes

Step 1,  Define the goal of the sequence

Before writing the prompt, decide what the sequence is for. Some examples:

  • Stay in touch with clients between tax seasons

  • Prepare your clients for Q4 with relevant information

  • Follow up with clients who mentioned a need but haven't moved forward

  • Reactivate clients you haven't contacted in months

Step 2,  Write the prompt

"I'm a tax preparer and I work with Hispanic business owners. Create a sequence of 4 monthly emails to stay in touch with my clients between May and August,  outside of tax season. Each email should have a different topic: the first on financial organization, the second on Q4 preparation, the third on seasonal working capital, and the fourth on planning ahead for the next tax year. Tone: warm, close, professional. Each email should close with a question that invites the client to respond."

Step 3,  Personalize and schedule

What AI gives you isn't perfect as-is,  but it's 80% of the work done. You add the client's name, a specific detail only you know about that client, and schedule it in your email tool.

Four emails. Twenty minutes. Four months of active presence with your clients.

The mistakes that make a sequence sound automated

The difference between a sequence that connects and one that feels generic comes down to these details:

  • Don't use the same greeting in every email,  vary the opening tone

  • Avoid making every email sound like you're trying to sell something,  alternate between giving value and asking questions

  • Include references to the current season or context,  an August email should sound different from a February one

  • Always close with an open question,  not a CTA like "call me" or "book here"

A prompt for when time is minimal

"Write me a short email to send my clients in [month] reminding them I'm available for [relevant topic of the month]. Make it personal, not corporate. Maximum 150 words."

One email. Five minutes. Enough for your client to know you're still there.
