AI Text Message Sequences,  Without Sounding Like a Robot

 

Email is great for context. For longer, more formal communication with a clear theme.

But there are moments when what's needed is a text message. Short, direct, personal. Something that lands on their phone and doesn't feel like a newsletter.

The problem is that when we try to follow up by text, we often fall into one of two extremes: either the message sounds too formal, like a lawyer wrote it, or too casual, like you didn't have time to think about what to say.

AI can help you find the middle ground. And do it in sequence, so your follow-up is consistent without having to think about what to write each time.

When to use text messages instead of email

  • When the relationship with the client is close and you already have their personal number

  • When you want a quick reminder without it feeling formal

  • When the client mentioned something important and you want to pick it back up without a full call

  • When you want to follow up on something left pending from a recent meeting

How to create a text sequence with AI

"I'm a tax preparer and I have business owner clients. Create a sequence of 3 text messages to follow up with a client who mentioned wanting to expand their business but hasn't taken the next step. The first message to re-open the conversation naturally, the second to share useful information about capital options, and the third to invite them to a 10-minute call. Each message maximum 2 lines. Tone: friendly, direct, not sales-y."

What makes a text work, and what ruins it

A text that works:

  • Starts with the client's name, not a generic greeting

  • References something specific about their situation, it's not a mass message

  • Has one single idea, doesn't try to say three things in two lines

  • Ends with something actionable, a question, an invitation, a clear next step

A text that doesn't work:

  • "Hi, how are you? I'm writing to see if you need anything.", generic, invites nothing

  • "We have new financing options available for businesses like yours.", sounds like spam

  • A 5-line text, if it's that long, send an email

The prompt for reactivation texts, when you haven't written in a while

"I need to send a text message to a client I haven't contacted in [X] months. Their business is [type] and the last time we spoke they mentioned [something specific]. I want to reconnect naturally without it sounding like I only reach out when I want to sell something. Maximum 2 lines."

And one more thing…

When a follow-up text opens the door to a conversation about capital, when the client responds "I was actually looking for options", that's the signal.

You don't have to become a financing expert in that moment. Just say: "Let me connect you with the team that backs me up, they explain everything and reviewing your case costs nothing."
