Practical Guide: Your Email, Text, and WhatsApp Sequences Ready to Use

Over the past few weeks we talked about how to create sequences with AI for emails, text messages, and WhatsApp separately. Today I'm giving you the complete guide, the most useful prompts from each channel, ready to copy, personalize, and use this week.

No extra theory. Just what you need to get started.

Why sequences matter more than individual messages

A single message lands and gets forgotten. A sequence builds presence.

When a client gets an email from you in August, a text in September, and a WhatsApp message in October, none of them a direct sales pitch, you are the professional who is present. The one who remembers. The one who thinks about them.

And when that client needs something, taxes, capital, advice, who do they call first?

You.

SECTION 1, Email Prompts

Q4 sequence (4 monthly emails):

"I'm a [profession] and I work with Hispanic business owners. Create a sequence of 4 emails for September, October, November, and December preparing my clients for Q4 and year-end closing. Each email with a different topic: Q4 cash flow, capital opportunities before year-end, early tax planning, and a year summary with recommendations for next year. Tone: educational, close, not sales-y. Each email should close with a question that invites a response."

Reactivation email (a client you haven't contacted in a while):

"Write me an email to reconnect with a client I haven't contacted in [X] months. Their business is [type] and the last time we spoke they were [situation]. I want to pick things back up without it sounding forced. Maximum 150 words."

SECTION 2, Text Message Prompts

Post-meeting follow-up:

"I had a meeting with a [type of business] client who mentioned [specific need]. Write me a text of maximum 2 lines to send them tomorrow following up. Make it natural, not sales-y."

Seasonal reminder:

"Write me a 2-line text message to send my clients in [month] reminding them it's a good time for [relevant action]. Make it feel personal, not mass-produced."

Dormant client reactivation:

"I haven't contacted this client in [X] months. Their business is [type]. Write me a short text to reconnect naturally, without it sounding like I only reach out when I want something."

SECTION 3, WhatsApp Prompts

Weekly status (4 weeks):

"Write me 4 WhatsApp status ideas to post during [month], directed at business owners. A different topic each week related to [monthly context]. Maximum 2 lines each. Invite conversation, not purchases."

Post-referral message (when you just connected a client with us):

"I just connected a client with Capifinders' financing team. Write me a short WhatsApp message to send them saying they'll be contacted soon, that I'm aware of the process, and that they can write to me if they have questions. Make it reassuring."

The system that makes this sustainable

You don't need to do all of this every week. The system is simple:

  • Once a month: generate the complete sequence for the month with AI (emails + texts + WhatsApp)

  • Personalize the 3 or 4 most important ones with specific details for each client

  • Schedule what you can, and send the rest manually when the time comes

  • Use the time you used to spend thinking about what to write to have real conversations with your clients

Less time on content. More time on strategic conversations. That's exactly what AI can give you.

This entire sequence system has one goal: to keep you present with your clients so that when a need appears, for capital, for advice, for anything, you're the first person they call.
